Administration Manager

Location: Hybrid (Combination of Remote and Office-based)
Work Hours: 8:00 AM – 5:00 PM
Salary: R 20 000 – R25 000 Per Month

Secret Cape Town and its partner company and brands are looking for a dynamic person to fulfil the role of admin manager.

Position Overview:

Secret Cape Town is seeking a highly organized and detail-oriented Administration Manager to oversee and streamline our administrative operations. The ideal candidate will have excellent communication skills, proficiency in financial management software such as Xero, and the ability to manage and allocate tasks effectively across the team. This hybrid role combines the flexibility of remote work with the benefits of office collaboration.

Key Responsibilities:

  1. Administrative Management:
    • Oversee day-to-day administrative operations to ensure smooth and efficient functioning.
    • Develop and implement administrative policies and procedures to improve efficiency.
  2. Financial Administration:
    • Use Xero to create and manage invoices.
    • Collect an upload invoices into DEXT/Receipt Bank.
    • Monitor and reconcile financial transactions, ensuring accuracy and compliance.
  3. Communication:
    • Manage and respond to communications via digital platforms, email, and telephone.
    • Maintain clear and effective communication channels within the team and with external partners.
    • Handle customer inquiries and provide exceptional service.
  4. Task Allocation and Management:
    • Allocate work to team members based on skill sets and availability.
    • Monitor task progress and ensure timely completion of projects.
    • Provide guidance and support to the team to enhance productivity.
  5. Office Coordination:
    • Coordinate office activities and operations to secure efficiency and compliance with company policies.
    • Organize and schedule meetings, appointments, and events.
    • Manage office supplies and equipment, ensuring all are maintained and replenished as needed.
  6. Data Management:
    • Maintain accurate records and databases.
    • Ensure the confidentiality and security of data and information.
  7. Project Support:
    • Assist in planning and executing company projects.
    • Collaborate with different departments to support project goals and timelines.
  8. Vendor and Client Relations:
    • Build and maintain relationships with vendors and clients.
    • Negotiate contracts and agreements with suppliers.
  9. Team Leadership:
    • Provide leadership and support to the administrative team.
    • Conduct performance reviews and support professional development.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an Administrative Manager or similar role.
  • Proficiency in Xero and other financial management software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Experience with online platforms for downloading invoices and other administrative tasks.
  • Leadership and people management skills.
